AXVA AI is operated by Neeraj Pathmaraj trading as AXVA Works, ABN 67 806 905 041 ("AXVA AI", "we", "us"), an Australian business that provides AXVA AI, an AI email operations assistant. We take privacy seriously and handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what we collect, why, and the choices you have.
Information we collect
- Contact information you give us directly, such as your name, business name, email address and phone number, when you use the enquiry form or contact us.
- Service data we process on your behalf when your business connects an inbox to AXVA AI. This includes email content, sender details and attachments, which may contain personal information about your customers.
- Usage and technical data, such as pages visited and approximate location, collected through privacy focused analytics. We do not use advertising trackers.
How we use information
- To provide the AXVA AI service: categorising email, tagging priority and preparing draft replies for human review.
- To respond to enquiries and demo requests.
- To operate, secure and improve our service and website.
AI providers and your data
AXVA AI uses third party AI service providers to help prepare draft replies. Business information is shared with those providers only as needed to provide the service. Your business knowledge base and email content are used only to provide the service to you. They are not used by us to train AI models, and they are not sold to third parties. Every AI assisted draft requires review by a person at your business before it is sent.
Storage and security
We use reputable cloud providers to host and process data, and we apply appropriate technical and organisational safeguards, including encryption in transit. Where data is processed outside Australia, we take reasonable steps to ensure comparable protection.
Retention and deletion
We retain information for as long as it is needed to provide the service and meet our legal obligations, and delete it or remove identifying details when it is no longer required. On cancellation you can ask us to delete your business information.
Disclosure
We disclose personal information only to service providers who help us run AXVA AI (such as hosting and email infrastructure), when required by law, or with your consent. We do not sell personal information.
Access, correction and complaints
You can request access to or correction of your personal information, or make a privacy complaint, by emailing us. We will respond within a reasonable time. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC).
Changes
We may update this policy from time to time. The current version will always be available on this page with the date above.
